How to add a sort to your reports

Summary

Within Sage Report Designer you can choose to sort the data on your reports into a particular order. For example, you may create a report that shows a list of employees and you want the list to be sorted in alphabetical order. This article explains how to add sorts to a report in Sage 50 HR.

Tip: You can also sort on an expression or a variable that is not contained in the report.

Answer

To open the report in Report Designer

1. Open the required module > Tasks pane > click the reports option > select the required report > click Edit.

Sage 50 HR 2010 v3.0 and below – Open the required module > Tasks pane > click the reports option > select the required report > click Open.

2. Properties pane > Name > enter a new description for the report > Enter.

You have now opened your report in Report Designer and entered a new report description.

To add a sort to your report

1. Data > Sorts.

Note: To remove an existing sort from the list, select the sort and click Remove. Group sorts are not held within the Sorts window and are instead held within the properties of the Group.

Sort the data according to the value of a variable To sort the data based on the value of a variable select this option > choose the required table and variable from the drop-down lists.
Sort the data according to the value of an expression To sort the data based on the value of an expression select this option > Edit Expression > enter the the required expression > OK.

1. To add a new sort, click Add > complete the Sort window as follows:

2. Sort the data in > choose ascending or descending as required > OK.

3. If required, change the order of the sorts using the spin buttons to the right of the Sorts window > OK.

You have now added a sort to your document.

 To save the changes to your report

1. File > Save As > if required, change the location to save the report to, for example, Employment.

2. File name > enter a new file name > Save > File > Exit.

You have now saved the changes to your report.
